Finding Data Already Being Used in a Field for Segmentation

When creating segments in Delivra, accuracy matters  and knowing exactly which data values are available helps you build effective, error-free segment clauses. To make this easier, Delivra provides a helpful feature within the segment builder: the ability to review or download data values for the selected field. This ensures you're selecting from actual, existing values in your database.

The feature appears slightly differently depending on whether you're using a custom table or the standard contact table.

Feature Overview

  • Review My Data: Used when building a segment clause based on a custom table, such as eCommerce, Events, or Salesforce data. It opens a searchable list of all values stored for that field.

  • Download My Data Values: Used when building a segment clause based on the standard contact table. Due to the volume of contact data, values are provided via downloadable file.

How to Use “Review My Data” with Custom Tables

  1. Navigate to the Segment Builder
    From the Contacts dashboard, click Segments in the left-hand navigation.

  2. Create or Edit a Segment

    • To create a new segment, click Create Email Segment, give it a name, and proceed to clause creation.
    • To edit an existing segment, search for it in your library, hover over the listing, and click Edit.
  3. Select a Custom Table Field
    Click Select Field and scroll to the Extended Table Fields section. Choose the field you want to build a clause around.

  4. Review Available Data Values
    Click Review My Data next to the clause field. A list of all stored values for that field will display.
    Select the desired value(s) and click OK.

  5. Save the Segment
    Complete any remaining edits, then click Save & Test to store the segment and preview matching results.

How to Use “Download My Data” with the Contact Table

  1. Access the Segment Clause
    Follow steps 1 and 2 above to either create a new segment or edit an existing one.

  2. Choose a Standard Contact Field
    Select a field from the standard contact table in the clause editor.

  3. Download Available Data Values
    Click Download My Data. A file containing current field values will download through your browser.

  4. Review and Use the Data
    Open the downloaded file, make note of the value(s) you want to use, and return to the segment editor to enter them manually into the Value field.

  5. Save the Segment
    After entering values and making any final changes, click Save & Test.

Best Practices and Tips

  • Always use available values: Using the “Review” or “Download” options prevents typos or mismatched values, especially with data like state names, product codes, or custom tags.

  • Refresh regularly: Data in custom and contact tables can change. Re-review values if your data sources are frequently updated.

  • Search within custom table fields: When using “Review My Data,” you can use your browser's search (Ctrl+F or Command+F) to quickly locate a value in longer lists.

Practical Use Cases

  • Targeting event attendees: Use the “Review My Data” option to select attendees from a custom Events table who registered for a specific session.
  • Follow-up for eCommerce activity: Segment based on product category purchases pulled from a custom eCommerce table.
  • Contact field cleanup: Use “Download My Data” to audit how values like job titles or states are being entered into your standard contact fields.
