Template accounts

Template Accounts help you provide the most up-to-date content to all child accounts, or subaccounts, while ensuring you retain tight version control. They are great for customers that manage multiple accounts, where users need access to the same branded assets and media files. You can build libraries of branded assets and share them across all managed accounts, streamlining collaboration and maintaining consistent branding effortlessly.

How do template accounts work?

When creating a new campaign, any user of a sub-account on your site can select a template that exists in the current account, or the template account. They can also access images and snippets saved to the template account libraries.

 

Access and Roles

  1. Only a site administrator can save email templates, images, and snippet files to the dedicated template account and then manage updates and republish files as necessary.
  2. An account administrator can select email templates, images, and snippets to use in the campaigns that they send from their individual account.

How do I choose a design from my template account?

  1. Create a new campaign. In the very first step (Setup tab), scroll to the Design section.
  2. Ensure that Custom Templates is chosen for the view. 
  3. The left menu will show two folders: Current Account and Template Account.
  4. Click open the Template Account folder to access other folders and shared custom template files.
  5. Find the template you want, hover over it, and select the radio button that appears. Template Accounts may be setup with multiple folders, click on each folder to see a listing of the files within it.
  6. Click the "Save and Next button to move to the Design step of the workflow to make edits to the deign as needed.

Best Practices for Using Template Accounts

  • Regularly update shared templates and assets to ensure all subaccounts use the most current branding.
  • Organize templates into clearly named folders within the Template Account for easy navigation.
  • Train subaccount users on how to select and customize templates to maintain brand consistency while allowing local personalization.
  • Establish a process for reviewing and approving new template uploads through the Site Administrator role.

  • Franchise Businesses: A franchisor provides pre-approved marketing templates to franchisees to keep brand messaging consistent across locations.
  • Agencies: Marketing agencies managing multiple clients can streamline operations by creating standardized templates for each client in a centralized location.
  • Multi-Division Companies: Different divisions within a large organization can access branded materials tailored to their specific needs without recreating assets from scratch.
